Division Seeks Officers - Annual Meeting to Be Held June 14th during State Games at NWFC
Interested in serving on the Oregon Division USFA Board? The Division seeks candidates for Executive Vice Chairperson and Treasurer, for a two-year term.
Officers will be elected during the upcoming Oregon Division’s 2014 Annual Meeting, during the Oregon State Games at the NorthWest Fencing Center on Saturday, June 14th at approximately 4pm. Location: 4950 SW Western Ave., Beaverton, OR 97005.
Agenda items for the Annual Meeting include:
1. Call to Order
2. Discussion and request to approve minutes from last year’s meeting
3. Any other additions to the agenda
4. Brief report on accomplishments of the 2013-2014 season
5. Treasurer’s Report will be presented/posted (financial overview of year, and planned budget for 2014-2015 year)
6. Election for Executive Vice Chairperson and Treasurer
7. Post proposed 2014-2015 Division-hosted events and call for all clubs to submit dates for sanctioned tournaments for the coming season
8. Announce upcoming need for volunteers and possible volunteer trainings
9. Comments from the floor
You can vote at the Annual Meeting or provide another member with a written proxy to vote on your behalf. To be eligible to vote, you must be at least 18 years of age and an Oregon Division USFA member (all classes) as of February 1, 2014. Thank you!
Note: According to the bylaws, 9.6, Staggered Terms for Certain Directors, the terms for the officers of the Board of Directors will be staggered as follows: (a) The Chairperson, Vice-Chairperson, and Secretary will be elected at the annual meeting occurring on "odd" years; and (b) the Executive Vice Chairperson and Treasurer will be elected on "even" years. Somehow the division has gotten off this schedule, to which we want to return. As a result, the June 2014 Elections are for Executive Vice Chair, and Treasurer (and the June 2015 Elections will be for Chair, Vice Chair, and Secretary.)
According to the Bylaws, the Executive Vice Chairperson performs the duties of the Chairperson in the absence of the Chairperson, and duties assigned by the Chairperson, the Board of Directors, or the Executive Governance Committee.
The job description of the Treasurer is to have general charge of and be responsible for all funds and securities of the Division; receive and give receipts for monies due and payable to the Division from any source and deposit the monies in the name of the Division in banks, trust companies, or other depositories selected by the Board of Directors or an authorized officer; perform all duties commonly incident to the office of treasurer and other duties prescribed by the Board of Directors or an authorized officer; and pay all bills approved by the Board of Directors, and preserve all vouchers for disbursements. The Treasurer shall, at the Annual meeting of the Division, submit a report of the financial condition of the Division and any material financial transactions involving the Division during the preceding twelve months.
